How To Fulfill Auction Items

Once your silent or live auction wraps up, fulfilling auction and event items is simple and seamless.

Auction Fulfillment Options

There are a couple ways to fulfill winning silent or live auction bids:

Fulfill by Bidder

  • Winning auction items are listed in the winning bidder profiles.

  • Use the Add Donation option to include additional offline payments (e.g., paddle raise donations, drink purchases).

  • Payment methods can also be updated directly on the bidder fulfillment screen.

Bulk Fulfillment

  • If winning bidders already have a payment method on file, you can select all winning bidders and process fulfillment in bulk.

  • This helps admin save time and ensures a smooth close-out process.

Update Payment Details

  • Admins can add or update bidder payment methods through the admin interface at any time before fulfillment.

To fulfill auction items and check-out event guests, follow the steps below:

Step 1: Ensure the auction is closed in the site settings.

Step 2: In the Manage section, select the campaign from the upper left dropdown, then scroll down to Auction >> Bidders >> Winners.

For individual fulfillment:

  • Keyword search the bidder name or number then select the pencil icon to edit the profile.

Step 3: Select Actions >> Fulfill Items.

Step 4: On the auction fulfillment screen you'll be able to:

  • View the list of won auction items

  • Add an offline donation amount for paddle raises or offline donations/purchases

  • View the total amount on the donor tab

  • Verify the payment method

  • Update the payment type: Credit/debit, or Manual cash/check/ACH

  • Add a new payment method

  • Process fulfillment of all items

Step 5: To process fulfillment in bulk, navigate to the Winning Bidders tab, select the checkbox next to the bidders you'd like to fulfill, then select Bulk Actions >> Process Fulfillment.

The system will automatically:

  • Identify winning items for each bidder

  • Check payment method availability

  • Process eligible bidders only

  • Skip bidders without winning items or payment methods

  • Send email receipts after successful fulfillment
